Cancellation Policy

The cost of the courses as detailed overleaf all includes VAT. Your place on the course will not be confirmed until cleared funds and a completed registration form has been received. Full payment for online courses are due upfront. Classroom based courses a small non-refundable deposit is due and the remaining full balance is due on the day of training.

Online Courses: Full payment of the course is due upfront.

Deposits for classroom based courses: We require a £50 non refundable deposit unless otherwise stated. If the course includes a kit it will be the kit money which is taken as a non-refundable deposit. Dermal filler and Anti-wrinkle courses require a £200 non-refundable deposit

You may make as many payments as you wish between the times you pay your deposit and the time the final balance is due. Alternatively you may wish to apply for finance, in such a case a deposit will still be required as detailed on the payment page. In such cases PAYL8R Ltd (we also use another finance company too which we can discuss options with you) will reserve the right to undertake credit checks through Experian (The Credit Reference Agency) and use sufficient information to assess your application. This may involve the use of public information that a credit reference agency may hold about you. The credit reference agency will add details of the search and your application to their record about you whether or not your application proceeds. This and other information about you may be used to make credit decisions about you and undertake checks for the prevention and detection of money laundering. In the event that your application for finance is not approved you will have 7 Days from the time you are notified to decide whether to pay the balance in full or by other means (7 days prior to the start date of your agreed course date) Once the period of 7 days has elapsed Robyn Raye Academy will assume you wish to continue enrolment and your deposit will become subject to our normal cancellation policy.

In the event that one of our trainers is travelling to your salon or studio and travelling costs are being charged, these will be due at the time the deposit is paid. No travel arrangements will be booked or confirmed until the credit check has been processed. If after the credit check has been processed you change the date of the training or cancel (in line with our cancellation policy) then you will only receive the proportion of the travel costs that we are able to recover; in the event that we are unable to recover any costs then no refund will be provided. If your finance application is approved and deposit paid you will need to have signed and returned the Credit Agreement for the finance to be valid.

Once we have processed your booking we will issue a booking confirmation to the email address provided or a letter to the address on the enrolment form along with instructions on getting to the venue and details of the hotel (if applicable) Payment can be made by Credit/Debit Card, PayPal, Bank Transfer or Cash. You are also able to pay by BACS – please contact us if you wish to pay by this method.

Course attendance is the responsibility of the student; while we are able to provide accommodation (for courses held in Kent) and transfers to the training centre from the hotel if needed, getting to and from the training centre is the responsibility of the student.

We will also provide refreshments during the hours that the course is being delivered. Please bring your own lunch. Matrix Hair & Beauty Academy will provide a start-up kit on the first day of the course (if purchased prior to the course) which will be yours to keep and use during the duration of the course. The contents of the kit can be found on our website or can be provided on request. Please note that from time to time we will alter the contents of the kit due to circumstances beyond our control such as the discontinuing or replacement of certain products.

Matrix Hair & Beauty Academy will make every endeavour to meet any special requests that have been notified in advance on the booking form. We are happy to transfer you to another course date (should one be available) so long as we receive written notification within 21 days of your course start date. The full amount of the course will still be due on the original day of training. Notification received less than 21 Days before your course start date will incur an administration fee of 10%. No refund will be made in the event of a transfer. No more than one transfer will be allowed. Requests to transfer a course must be made in writing and can be sent by email to: [email protected]

Cancellations:

All notice of your wish to cancel must be received in writing to; [email protected] If you fail to attend the course on which you are booked and have not given prior notice to Matrix Hair & Beauty Academy, then no refund will be made and no transfer will be allowed. While Matrix Hair & Academy offers training and certification on a CPD accredited course, or ABT accredited course we are unable to offer advice or guidance on the practice of SPMU and injectables in your area. It is your responsibility to contact your local environmental health officer or licensing department for local policies and procedures and to ensure that this course is suitable to obtain a license from your local authority if needed.

Matrix Hair & Beauty Academy reserves the right to cancel courses for circumstances outside of our control. In the event of this students will be notified with as much notice as possible and either offered a) a place on a future course, or b) a full refund of any course fees paid excluding the deposit. Likewise, Matrix Hair & Beauty Academy reserves the right to relocate a course to a different venue should circumstances beyond our control dictate. Notice will be given to students as soon as is practical.

As the student, you will have up to 3 months from the date of the course to complete your course case studies. Matrix Hair & beauty Academy reserves the right to reject any case studies submitted post this date. However, if you would like an extension, please put a request in writing to: [email protected] within 10 days of the end date.

All information that we hold concerning you will be held and processed by Matrix Hair & Beauty Academy strictly in accordance with the provisions of the Data Protection Act 1998) Such data will be used by the organisation to administer our relationship with you as a customer. We will not, without your consent, supply your name and addresses to any [other] third parties except where (1) such transfer is a necessary part of the activities that we undertake, or (2) we are required to do so by operation of law. As an individual, you have a right under the Data Protection Act 1998 to obtain information from us, including a description of the data that we hold on you.
